MIR-Email Privacy Policy

Last updated: October 19, 2026

Summary

MIR-Email is a free Windows program made by MIR-AI (“we”). It runs entirely on your own computer. It sends the emails you write, from your own email account, to the customer list you choose. We do not operate any server for MIR-Email and we never receive your emails, your customer list, your sign-in or any other data from the program. The program contains no analytics, tracking or advertising.

Data the program uses, and where it stays

  • Your email account settings: the provider, your email address, the outgoing server, and either a sign-in token (Google, Microsoft), an API key (Resend) or your mailbox password (other providers). These are saved in a file named MIR-Email.dat next to the program, encrypted with Windows' built-in data protection so that only your Windows user on your computer can read them.
  • Your message draft (sender name, subject, text) is saved on your computer in your Windows user profile so it is there next time.
  • Your customer list is read from the Excel or CSV file you choose. It is not copied anywhere; names and addresses are only used to address and personalise each email.
  • Send reports (which emails went out and which failed) are saved as a CSV file next to your Excel file, and a failure report is emailed to the address you enter.

Google user data

If you choose to sign in with Google, MIR-Email requests only these permissions:

  • Send email on your behalf(https://www.googleapis.com/auth/gmail.send) - used only to send the emails you start in the program, through the Gmail API, and the failure report to your own address.
  • Your email address (openid, email) - used only to show which account is signed in and to fill in your sender address.

MIR-Email cannot read, search, change or delete the email in your Gmail account. The sign-in token Google issues is stored only on your computer, encrypted as described above, and is sent only to Google when the program signs in and sends. We do not receive it.

Data received from Google APIs is not used for advertising, is not sold, is not transferred to anyone else, is not read by humans, and is not used to develop, improve or train artificial intelligence or machine-learning models.

MIR-Email's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Microsoft account data

If you sign in with Microsoft (Microsoft 365 or Outlook.com), MIR-Email requests permission to send email through SMTP (SMTP.Send), to stay signed in (offline_access) and to read your email address (openid, profile, email). The same rules apply as for Google: the token stays encrypted on your computer and is used only to send the emails you start.

Connections the program makes

  • To your email provider (for example Google, Microsoft, Resend or your mail server), to sign in and to send your emails.
  • Only while finding your settings: to your provider's automatic-configuration address (which includes your email address, as email programs such as Thunderbird do), to Thunderbird's public settings database at autoconfig.thunderbird.net (your domain name only), and to your domain's mail servers to check which encrypted ports they offer. Domain-name (DNS) lookups use Windows' own DNS settings.
  • To your web browser's sign-in page and back to the program on your own computer, when you sign in with Google or Microsoft.

No other connections are made; in particular none to MIR-AI.

Your customers' data

You decide whom to email and you are responsible for that list. Send only to people who have agreed to receive email from you, and follow anti-spam laws such as Canada's CASL, the US CAN-SPAM Act or the EU GDPR.

Removing your data and access

Children

MIR-Email is a business tool and is not intended for children under 16.
